This position is responsible for providing executive support directly to the Sr. VP/Sr. Director of Operations Management and others within the executive leadership team.

What You Need To Know

  • Prepare detailed reports and spreadsheets using Excel.

  • Design & prepare detailed Power Point presentations, correspondence, memos, charts, tables & graphs.

  • Schedule appointments, send invites, keep calendars current using Microsoft Outlook.

  • Create and maintain organized files, reports, and books.
  • Process expense reports, invoices, check requests,  

  • Perform executive admin work, coordinate meetings, work with other executives, extensive email usage  

  • Make travel arrangements, flights, hotel, rental car, meeting space,

  • Provide backup support to others in the office
  • Event planning for off site and local conferences and meetings

  • Complete special projects, some of which involve gathering, analyzing and reporting data, training and making recommendations.

  • Attend senior management meetings and prepares minutes of these meetings

  • Works closely with Operations Division staff (DOMs, BUAs, administrators, Operations secretaries) to handle their questions and needs.

  • Coordinates compilation and review of Operations Division budget and business plan.

  • Sets agenda for Operations training meetings

  • Orders collateral materials (ie, letterhead, envelopes, and brochures) for LCS.

  • Back up support for office coworkers
  • May be assigned the following tasks as needed: making photocopies, sending faxes and FEDEx shipments, and other office-related tasks.

What We Are Looking For

  • Must demonstrate and possess excellent oral and written communication skills 

  • Must project a professional image at all times and the ability to work well with a variety of people 

  • Must demonstrate the ability to prioritize and handle multiple tasks in a fast-paced environment

  • Person must be detailed oriented

  • Must possess strong skills in Word, Excel, Power Point, Microsoft Outlook Email & Calendaring 

  • Must be open minded and flexible as priorities often change

  • Must maintain confidentiality of all office records and interactions 

  • Must demonstrate a willingness and ability to continuously learn and develop new skills 

  • Associate degree in office administration or related field preferred 

  • 5+ years executive level administrative/office management experience is required
